We have updated the in-app links to the new documentation space.

The old documentation space at wiki.comalatech.com will no longer be updated for Comala Document Control Cloud.

What's New?

New document approvals macro.

Add one or more document approvals macros to a document to display approval information for a selected workflow state. The macro can be configured to display the overall approval status in the state, the assignees for the review, each reviewer’s decision status, and the date of the last decision for each reviewer and the reviewer comment.

The document approvals macro is compatible with the Confluence page properties and page properties report macros.

• fixed an issue that caused a document with an applied workflow in a Comala Publishing configured target space to be published to another (un-configured) space when the applied workflow on the document in the target space was transitioned to the final state

• fixed a problem preventing email notifications from being sent for an approval with assignees if one or more of the assignees were invalid (for example the user account is disabled; the user does not have view permission)

• resolved an issue when using the Quality Management System Workflow that stopped email notifications from being sent to any valid recipients on transition to the In Approval state if one or more of the added user values for the "Document User Reviewers" or "Document Group Reviewers" parameters were invalid

Bugfix

• pages were not expiring on the due date unless the page was viewed by a user.  This release expires the content that is due since the release deployment.

 This release will not affect pages with a historic expiration prior to the release date. This is to avoid unforeseen changes in the workflow history of these pages.

• fixed an error that stopped a due date on pages with a long contentID from expiring

What's New?

To better understand what business case our evaluation customers are seeking to achieve when installing Comala Document Control the workflow picker now has the option to select a business use option from a drop-down menu before choosing a workflow to apply.

The workflow picker will then display all the available workflows including any custom workflows. The first workflow displayed in the picker will be prioritized for the chosen business case use. A user can choose the option to Skip the request.

This business use option will be available in our evaluation version each time a workflow is added to the content. It is aimed to help in the development of additionally available workflows and features within the Comala Document Control app.

Users now have the ability to see what workflow is currently added and applied to the page.

Choosing Show workflow opens a dialog box displaying a visual workflow diagram for the current workflow applied to the content.

 Users can also view the current workflow by choosing the Show workflow option in the page tools menu.

Workflow history is stored as an attachment to a page. This attachment can still be deleted by a user with edit or admin permission and this will remove the Workflow History for the individual page.

A space admin will still have the option in the  space settings Document Control dashboard to Clear workflow history for all documents in the space.

 This is a major release

• We have removed the ability to edit workflows for new installs only

  • a new install of Comala Document Control for Confluence Cloud will not have the workflow builder or the option to edit or add JSON markup. 

  • If you need the ability to fully customize a workflow please use Comala Document Management for Confluence Cloud
    
    

• For existing installs there are no changes; the ability to edit a workflow, access workflow builder and edit/add JSON markup is still available

  • for users requiring help in an existing install of the Comala Document Control app, workflow builder documentation is available here

• you can use the Initialize states option to publish every page in a space to a target space at the same time. Comala Publishing is used to publish content in a space on a page-by-page basis.  However, you can choose to configure the Comla Publishing action on the transition to a specific state

Comala Document Management can now use inWebo authentication as an option when e-signatures are enabled

• this allows clients to use inWebo to manage the authentication process for users when an e-signature is required for approvals

• inWebo simply passes an API key and an inWebo Service ID - to Comala Document Management

• Service ID key generated by inWebo administration must be added to Comala Document Management global configuration

• a user generates an OTP token using the inWebo Authentication app for mobile Android and IOS devices

• all other 2FA use is disabled when inWebo is used for authentication

Workflows can now be edited^* to add a select transition to a state.

Each individual state can be configured to allow users to use the workflow popup to choose a destination state and transition the workflow to this state.

One or more options for the destination state will be displayed in a dropdown menu in the workflow popup.

The destination state options displayed in the popup are configured using the transition editor in workflow builder.

The select transition cannot be used

• in a state with an approval

• in a final state

A select transition can be added to a state together with an expired transition and an updated transition.

A select transition will not be available to add to a state with an approval added - the transitions editor will only display the approved, rejected, updated and expired transition options.

Adding an approval to a state with a previously added select transition will replace the Submit option on the workflow popup on the content with the Approve and Reject buttons.

^* Comala Document Control for Cloud release from 15th July 2021 - workflows can no longer be edited. Custom workflows can only be created and edited if you upgrade to the Comala Document Management for Cloud app.
