Adding Comala Document Approval to Content

Overview

Adding Comala Document Approval to a page or blog post allows you to ensure that content is reviewed and signed-off.

The approval workflow can either be added on a page-by-page basis or applied to all content in a space.



A user can then open the workflow popup to approve or reject the page or blog post. Based on the user decision the workflow will transition the approval workflow to a different workflow state.

When the page or blog post is in the approval Review state

  • a user approved decision transitions the content to the Approved state. If Approved content is updated, a new version is automatically created and transitions the content to the Review state

  •  a user rejected decision transitions the content to the Rejected state. If Rejected content is updated, a new version is automatically created and transitions the content to the Review state

A user can also undertake an approval when the page or blog post is in the approval Rejected state

  • a user approved decision transitions the content to the Approved state

  • a user rejected decision does not cause any approval state but the decision is recorded for the page in the approval history report

Adding Comala Document Approval to one or more pages

In a space the Comala Document Approval app can operate in one of two modes

  • add and apply to an individual page one at a time (page mode)using the page tools menu option

  • add and apply to all the pages in the space (space mode) by enabling the approval workflow in the space tools Document Approval dashboard



  • the approval workflow is applied to all the content in the space

  • the application of the approval workflow will override any existing approval added and applied to an individual page or blog post

  • the approval workflow on all the content can be initialized to the same state

  • an end-user will be unable to add or remove the approval workflow for an individual page or blog post

Only the space administrator can enable the Comala Document Approval workflow to add and apply to all content in the space.

If the workflow is not currently applied using the space tools, then an end-user can choose an individual page or blog post to add and apply the Comala Document Approval workflow on a page-by-page basis.
