USE CASE

Knowledge bases provide a central repository of information that is easily accessible to users. It is essential to keep them current since information changes over time. Comala Publishing makes it easy to update content by keeping draft and published information separate. It gives you the flexibility to publish a page that needs to be updated or to publish a complete set of updated documents at once. This makes it easy to keep your knowledge base up-to-date without disrupting the published content that your users rely one.

What are ways teams benefit?

Improve performance and productivity by providing up-to-date information so users can find the information they need quickly and easily without asking for help from others. This can free up time to focus on other tasks and reduce the need for a support ticket.

Document publishing

Comala Publishing allows you to edit draft pages in one space, and then publish these pages to another space in the same Confluence Cloud site.

Comala Publishing Cloud can only publish Confluence Cloud pages. Comala Publishing Cloud cannot publish blog posts.

To get started

  • undertake an initial publish and sync of your all the pages in your source space using the Publish space option

After a whole space publishing action, details of the last publication of pages published to the target space are displayed in the space publishing report in the source space publishing dashboard.

Comala Publishing is designed to publish content from a source space to a target space that is empty!

Your target space will be your public space for your pages

Access to your published page content in the target space can be easily managed by the space permissions.

Synced pages

Configuring a target space for publishing will add a Comala Publishing byline to each page in the source space and the target space.

The publishing byline is added to the page header.

The visibility of the publishing byline on the source and target space pages align with the Confluence permission restrictions for the page in each space. The byline is only displayed for a user with both Confluence view and edit permission for the page.

When a page is published to the target space the byline on the page in the source space (and the target space) will change to Synced.

The publishing popup displays

  • the current time elapsed since the sync occurred

  • a Publish button option

  • a View Published Version button to display the page in the target space

The page in the target space will also display the Synced byline.

The publishing status will change to Out of sync when changes are made to the page.

Page publishing status will change to Out of sync if changes are made in either the source or target space page.

The Publish button is displayed in the popup when single-page publishing is enabled in the space.

Published pages

Each published page includes

  • the content title

  • the content body

  • attachments

  • content properties

  • content labels

Links to local pages in the source space are replaced in the published page with the links for the pages in the destination target space.

The first publish action creates a published page version of v.1. Subsequent publishing of the source page increments the published page version.

Document lifecycles

Document management is not just a matter of convenience; it's a critical element of effective governance, risk management, and compliance. It ensures that employees have access to the correct information at the right time in a secure and organized manner, ultimately contributing to the success and longevity of a company.

Using Comala Publishing, pages are updated in a source space and access managed by the Confluence space permissions. When ready, all the pages in the space can be published in a single process. Or, simply publish an individual page update.

If a review and an approval process is required in the source space, Comala Document Management can be installed to manage the approval and review process for your document lifecycle and together with Comala Publishing used to automate the publishing of your pages to the published space.

The published Confluence space can also be linked for Jira Service Management and used to help your customers by suggesting relevant articles when they raise a request in the portal.
