Overview

DATA CENTER The document activity report tracks all workflow and content interactions on all pages.

Permissions

By default, this report is only available to users who can Add content (pages or blog posts) to the space.

Admins can make it available to everyone by changing the workflow activity and drafts visibility setting.

Viewing the report

You can access the report in the following ways:

Here's what the report looks like

The report displays

  • Actor - user who actioned the workflow document activity

  • Action - summary description for each listed document activity

  • Comment – page/blog comments, inline comments, workflow popup comments/notes including approval and reviewer assignment comments/notes, tasks popup comments

  • Date - date and time the document activity occurred

Filtering the document activity report data

You can filter the report using the Display buttons at the top of the page:

Date

Select a period of time to filter the date and time of the document activity report using the displayed From and To calendars.

Type

Filter the report by checking one or types of document activity for States; Tasks; Approvals; Read Confirmations and Page Edits

  • type of document activity can be searched by keyword in the dropdown box

  • check one or more document activity types in the scrollable dropdown menu

  • Type button displays filter context based chosen types

Type: States document activity

Type: Tasks document activity

Type: Approvals document activity

Type: Read Confirmations document activity

Type: Page edits document activity

Type: the filter can be one or more document activity types checked from States, Approvals, Tasks, Read Confirmations and Page Edits and their sub-types.

Checking a parent filter Type (for example, States), automatically checks all the subtypes and these are included in the filter for the report.

Actor

Filter the report by one or more users who actioned a document activity on the page

  • search for a user using the dropdown menu including the app user (the actor for anonymous workflow events such as a state expiry event)

Participant(s)

Filter the report by one or more users who have been included in the workflow document activity but may have not undertaken any document activity, for example, are an assignee for an approval, added am inline comment.

State(s)

Filter the document activity report to display document activity when the page or blog post was in one or more states.

Exporting report data

You can Export to CSV using the button on the report.

The resulting file can be loaded into spreadsheets, databases or other tools for further analysis.

How do I reset the report?

Space Admins can use the Clear Document Activity - Space Tools option to clear all workflow-related data from a space.

The page activity report may be displayed in data center when the workflow data in a space has not been upgraded from page activity to document activity.
