FAQs

 What if I want to install Comala Document Management 7.0 on its release but I don't want to use the new Document Activity immediately?

Users can continue working with Comala Document Management and choose the time of upgrade for the data on a space by space after the release of Comala Document Management 7.0.

After installing v7.0+ the following spaces will use document activity when a workflow is applied

  • a new space

  • an existing space that did not have a workflow previously applied to any document in the space

 Can an upgrade be run without a pre-upgrade check?
  • Yes, an upgrade may be appropriate without a pre-upgrade check if the global administrator has undertaken these checks in a staging environment or similar and is confident of success.

  • No, if an upgrade has failed. A pre-upgrade check will need to be run for that space before reattempting the upgrade

Both the pre-upgrade checks and the data upgrade can be undertaken in the same action if there are no errors in the pre-upgrade check for a space.

 What affects the upgrade duration?
  • number of spaces in the instance

  • number of selected spaces in an upgrade - long running tasks are run in parallel

  • number of pages with previous workflow activity history in each space

  • number of activities

These may affect your decision on planning the data upgrade as Read Only Mode must be enabled to upgrade the data. The pre-upgrade checks can be run without the need to enable Read Only Mode.

 What about spaces that do not currently use Comala Document Management?
  • on updating your site to Comala Document Management 7.0+, these spaces will have Document Activity automatically enabled

 What about new spaces created in my site after updating my site to Comala Document Management 7.0+?
  • new spaces will have document activity automatically enabled

 The Document Activity Upgrade Console identified spaces with activity that we do not need. How can I delete it?
  • for each space use Space settings>Document Management>Clear Document Activity

This option may be Clear History in some spaces.

 What if I cancel an upgrade?
  • the upgrade is rolled back and will need to be restarted

You can also cancel an in-progress pre-upgrade check for a space. If cancelling the pre-upgrade check you will need to run the check again before upgrading the data can be undertaken.

 Is there an API for the Document Activity?
 How do I know what problems occurred if any pre-upgrade data checks or an upgrade fails?

A pre-upgrade data check that includes any errors on pages in a space will have an upgrade status of Partially Completed and display the number of pages with an error in the space and a downloadable Support Package file. If required, this can be attached to a Comala support ticket.

 The Support Package file link in my Document Activity Upgrade Console has disappeared!

The Support Package files linked in the Document Activity Upgrade console are temporary files. If the Support Package is not found for a space, it may have been removed by the Confluence Clean Temporary Directory job and you will need to re-run the upgrade checks for this space.

 What happens to the previous Page Activity data in XML format after I have upgraded my data?

Data will continue to be stored in XML format for the life of Comala Document Management 7.0 and a recovery path will be available.

 How do I know which spaces in my instance are have been upgraded and are using Document Activity and which spaces are still using Page Activity?

The Document Activity Upgrade console enables admins to check the status of the upgrade for each space across their instance. Existing spaces with an applied workflow will be identified in the console as Upgrade Completed after a successful upgrade.
