DATA CENTER

Overview

Comala Document Management allows your teams to build processes to manage the lifecycle of critical documents such as knowledge base articles, policies, and documentation required to meet compliance standards.

Comala Document Management 7 introduces an improved capability - Document Activity that replaces the existing Page Activity. This provides a step change in the way the app stores events such as state changes and reviews. It also unlocks a powerful new API to enable your teams to get business insight from their document lifecycle.

This is a significant change and requires an upgrade of your existing data for existing spaces with an applied workflow.

Comala Document Management 7 is for Data Center Only and includes a new, improved capability called Document Activity that replaces the existing Page Activity.

Comala Document Management v6.17+ for server and data center includes the option to run pre-upgrade checks. The option to upgrade the data is only available in Comala Document Management 7.

Document activity

The existing capability - Page Activity - uses a format for page content properties containing the data of workflow related interactions in the page.

The new Document Activity capability uses a framework provided by Atlassian that enables apps to save data in a real database that enables easier, faster and more scalable data access and storage.

Document Activity data provides a number of new features and capabilities:

  • new activity reports

  • new document activity report with improved sorting and filtering, with the flexibility to create advanced filters

  • a new document activity API to allow your teams to unlock business insight into the performance of your teams using workflows

The JAVA API has been updated to retrieve document activity workflow events and actions.

New spaces created after installing Comala Document Management 7 or later use document activity to record and report workflow events and actions.

Comala Document Management 7 Administration

We have provided the Document Activity Upgrade console in global administration to enable you to manage the upgrade of your existing workflow activity data.

This console allows you to undertake pre-upgrade data checks for your existing space data and is available from Comala Document Management v6.17.4+ for server and data center.

A pre-upgrade data check and upgrade API is also provided.

Comala Document Management 7 includes the option to undertake the pre-upgrade checks and upgrade the data.

The following pages include details of the pre-upgrade and upgrade process for upgrading your existing data for Comala Document Management 7.

On installation of Comala Document Management 7 or later, pre-upgrade checks and data upgrade can be undertaken in a single action using the Document Activity Upgrade console.

The upgrade process requires Read Only Mode to be enabled in your data center instance. To support you, the console pre-checks estimate the time taken for the upgrade of each space to allow you to plan for the upgrade.

Pre-upgrade data checks

Pre-upgrade data checks do not require you to enable Read Only mode. These can be undertaken in both the data center and server app installs of Comala Document Management from v6.17+

The pre-upgrade data checks allow you to

  • validate that you will be able to upgrade

  • estimate how long it will take to undertake the upgrade so that these can be planned as part of your maintenance periods

  • identify upgrade errors for specific pages inĀ  each space and produce a support package to review the validation checks

Both the pre-upgrade checks and the upgrade can be executed on a space-by-space basis to minimize the impact on your end users.

The Document Activity Upgrade console is available in Comala Document Management v6.17+ (data center and server) to allow pre-upgrade data validation and planning prior to an install of Comala Document Management 7.0+
