Choose Space Settings>Content Tools>Document Settings>Manage Pages>Document Approval to open the Document Approval dashboard.

Choose the slider to enable the Basic Approval Workflow for the space

Enabling the workflow adds and applies the workflow to all content in the space and access to workflow Utilities options.

When the workflow is enabled you can choose to

• Reindex Approvals for a migrated cloud space or space import

• Initialize states for the applied workflow

• clear Approval History

  Clear Document Activity for all the space content

• Reindex Approvals for a Migrated space

Initialize states

Initialize states can be used to set all content to be in one state of the Basic Approval Workflow.

Document Activity

Document Activity can be cleared for all the content in your space that currently or previously had a workflow applied.

You will need to confirm the clearing of the Approval History document activity as this action cannot be undone.

Migrated space

The option option Reindex Workflows should be used whenever a space is imported/migrated.

You can choose to reindex approvals. This will re-enable Approvals approvals in a migrated or imported space from another cloud site.

This is the final step in the the migration/import process.

Otherwise, Comala Document Control Approval workflows may not work on the added pages after the import/migration has been completed and workflow history document activity may display document states as 'not initialized'.

You will need to confirm the reset of Approvals as this action cannot be undone.

Workflow History (Backup)

When upgrading or downgrading the Comala Document Management family app, for example, changing from the Comala Document Approval app to the Comala Document Control app to avoid data loss you need to backup the approval (or workflow) history for each space before removing the current app.

Choose Back up to export the approval history for content in the space.

The date, time, and the user who created the Last Export of a backup are added to the Document Approval dashboard.

The approval history export is added as a .json file attachment to content in the space with an added Comalatech workflow.

The Last Export of a backup of the approval history (or workflow history) can be restored after installation of the new app by choosing Load.

The last import of the approval history is added to the Document Approval dashboard.
