Assigning multiple reviewers

Overview

A content review can have one or more reviewers.

One reviewer

A single user can approve or reject the content and transition the workflow state if the content review does not allow the manual assignment of a user as a reviewer in the workflow popup or the workflow does not automatically assign a reviewer on the transition into the content review state.

Multiple reviewers assigned by the workflow

An approval can be configured so the workflow automatically assigns users or members of a user group as reviewers on transition into the workflow state with the approval.

The approval is disabled for all other users. All the assigned users must agree on the approval decision for the approval transition to take place. No other users can be assigned or existing reviewers unassigned.

Multiple reviewers for an assignable approval

An assignable approval allows a user to manually assign one or more users as a reviewer using the Add reviewer option in the workflow popup.

Until a user is assigned as a reviewer, any user can undertake an approve or reject decision for the approval and action the approval transition.

Simply choose +Add reviewer, search and assign the required number of reviewers:

You can type two letters to search for each individual and add them at one time or you can add reviewers later simply by using the plus icon in the workflow popup.

  • reviewers can be added one at a time or several at a time

  • choose to Add a note to send a note with the notification of the review assignment to the assignee(s)

After assigning a single reviewer, the approval buttons are disabled for other users.

The avatars for each assignee are added to the workflow popup for the content review.

Additional reviewers can be added using the “+” option if the approval transition has not yet taken place.

If an assigned reviewer has not yet undertaken a decision, they can be unassigned from the approval by choosing their avatar in the workflow popup.

Each of the assignees can either approve or reject the content. Each individual assignee decision will be shown in the workflow pop-up.

If six or more reviewers are assigned to a content review the workflow popup will not display all reviewer avatars. Instead, an icon will be added displaying the number of additional reviewers not displayed.

Choose this icon to display a dialog box showing read-only details of the approvers assigned to the content review.

Multiple reviewers and transitions

If there is more than one assigned reviewer, then all the reviewers must agree on the content review decision before the state will transition.

Only assigned reviewers who have not yet added an approval decision can be unassigned from the content review.

Individual reviewers can change their decision up to the point that all reviewers agree. All individual decisions are recorded in the workflow document activity report.
