Overview

A Comala Document Management workflow can be added across all content (pages and blog posts) in a space (space mode)

As only one workflow can be active on a piece of content at any one time

  • adding a workflow across the space will override any page workflow added to an individual page or blog post (page mode)

The space workflow is managed in the space settings Document Management dashboard.

A user with space administrator permission can add a workflow across all content in a space (space mode) by choosing to

To use the on-page options to apply a space workflow, an existing active workflow applied to the page must first be

  • removed from the current page using the page tools menu option if the existing applied workflow is a page workflow

  • disabled in the space document management dashboard if the the existing applied workflow is a space workflow

You can simply override any existing page workflows on pages and blog posts in the space by enabling a space workflow in the Document Management dashboard. If there is an active space workflow you can change or disable the space workflow in the space tools Document Control dashboard.

A workflow cannot added to a space homepage. This is because Confluence Cloud does not allow certain properties to be added to the homepage, for example, workflow content byline.

Only available If no workflow is currently applied to the page or blogpost

Choose the Add Workflow byline breadcrumb in the content sub-title

Select Add Workflow to this Space

This opens the space Document Management dashboard.

The enabled space workflow is added and applied to all content in the current space.

You can choose the Manage Workflows button to open the Add Workflow picker and select a different workflow.

Configuration options are also displayed when the space workflow is enabled

  • use Initialize states to set the workflow state on all the pages and blog posts in the space

  • use Clear Document Activity to clear the document activity on each of the pages and blog posts in the space

  • set Remove restrictions to remove page-level view and edit restrictions on a transition to the workflow final state

The Reindex workflows of imported spaces option is displayed for the space workflow when enabled or disabled.

  1. choose the Add Page Workflow option in the page tools menu
      


    Choose the right-hand option to add the workflow across the space.

The space settings Document Management dashboard can be accessed directly by a space administrator using the Space Settings option in the Confluence side menu.

  • choose Space Settings

  • choose Manage pages>Document Management

In the Document Management dashboard you can

  • enable the current space workflow using the grey tick slider

  • choose a different workflow to apply as a space workflow using the Manage Workflows option

The enabled workflow is automatically applied to the pages and blog posts in the space.

If any page workflows were previously applied the space workflow will override the page workflow.

Users with only view and edit permissions for the space will only view the option to add the workflow to an individual page or blog post if no space workflow is enabled and are not able to accessthe space settings Document Management dashboard.
