Overview

A snapshot collection can be created in a space and linked to another space. Collections created in a space or linked to a space are listed in the space tools snapshot publishing dashboard.

For a listed collection in the dashboard a space administrator can manage the collection using the collection options menu

  • Edit the collection settings

  • Remove deletes the collection from the instance

  • Unlink unlinks the collection from the current space

The space administrator can also manage existing snapshots in a collection using the snapshot document menu to move a snapshot, link a snapshot or remove a snapshot from the collection.

Managing a collection in a space

A space administrator can manage a collection in a space using the ellipsis menu option for each collection in the space snapshot publishing dashboard.

Open the ellipsis menu and choose

  • Edit to change the collection settings - name, description, viewers and contributors

  • Remove to delete collection (deletes the collection from the instance and it will no longer be accessible)

  • Unlink to unlink the collection from the current space (no additional snapshots can be added to the collection from this space)

The Edit and Remove options will only be accessible if the current space administrator is also the collection manager for the collection.

A space administrator who is not the collection owner can only View the collection settings and Unlink the collection.

The Remove option is disabled.

If a collection is removed from the site or unlinked from the current space, any snapshots not currently in another collection in the space will be added to the unassigned collection.

The unassigned collection is only displayed if the space includes one or more snapshot documents that are not currently added to a linked collection.

The space administrator can manage existing snapshots in a collection using the snapshot document ellipsis menu for each snapshot.

Click a collection name to list the snapshots in the collection.

Open the ellipsis menu and choose

  • Link to to link the snapshot to one or more additional collections

  • Move to to add the snapshot to another collection (and remove from the current collection)

  • Remove from collection to remove from the current collection
