Overview

Content reviews, or approvals, focus on approving or rejecting the content of a page or blog post.

A content review is specific to a workflow state.

They are characterized by two buttons, named Approve and Reject in the workflow popup. A space admin can amend these default button names.

A content review can be configured to allow the assignment of one or more users as a reviewer.

If there are no reviewers assigned, on an approval decision the content will transition to a destination state configured in the added workflow unless a minimum number of reviewer approval decisions is required.

Assignment of reviewers

A content review can allow one or more users to be assigned as reviewers. The users can be

A content review with pre-assigned reviewers can be configured to

  • allow additional manual assignment of reviewers using the workflow popup
    OR

  • only be undertaken by the pre-assigned (mandatory) reviewers

If one or more users are assigned as reviewers, all assigned reviewers must undertake and agree on the Approve decision for the transition to occur if a minimum number of reviewers is not required.

Anyone can undertake the content review - no assignment

A content review can be set to be undertaken by any user (with View and Edit permission).

As long as no minimum number of reviewer approval decisions is required, only one user is required to approve or reject the content.

A user cannot be assigned as a reviewer in the workflow popup.

Manual assignment

If the content review allows, one or more users can be manually assigned using the workflow popup.

If a reviewer has not yet been assigned, anyone can undertake the content review.

Once a reviewer is assigned only these assigned user(s) can undertake the approve or reject decision.

  • assigned users are added to the workflow popup

  • the Approve and Reject buttons are disabled for all other users

  • all users assigned to the content review must undertake and agree on the approval decision before the workflow will transition

  • any manually assigned reviewer can be unassigned if they have not yet undertaken an approval decision

A user assigned as a reviewer must have View or View and Edit permission for the content.

A user with View only permission for the content can only undertake a content review if they are assigned to the content review. Whilst a View only user is assigned to the content review, they can assign and unassign other users (jncluding unassigning themselves)

Pre-assignment of reviewers to an assignable content review

A content review can also have users pre-assigned as reviewers with the option to manually assign additional reviewers using the workflow popup.

Pre-assigned users are added to the workflow popup on the transition to the content review state.

Each reviewer decision is displayed in the workflow popup until all reviewers agree and the approval transition occurs.

Any assigned reviewer can be unassigned from the content review.

Pre-assignment of mandatory reviewers

A content review can be limited to one or more reviewers that must undertake the approval. These are added by the workflow on the transition into the content review state.

There is no option to manually assign any other reviewers

Require a minimum number of reviewers

A content review can be configured to require a minimum number of reviewers to agree on the approval decision before the transition can take place.

An outline avatar is added to the workflow popup to indicate the minimum number of reviewers required. Minimum reviewers can be set for

  • a content review that can be undertaken by anyone`



  • an assignable content review including one with pre-assigned reviewers



  • a content review with mandatory reviewers assigned by the workflow



    If the number of pre-assigned mandatory reviewers is more than the required minimum the transition will occur when the minimum number of reviewers agree.

When there is a required minimum number of reviewers, the content review transition will only occur when the minimum number of reviewers agree to either approve or reject the content

  • the transition will occur even if there are outstanding approval decisions from other assigned reviewers

  • the transition will not occur if any reviewer has a current approval decision that is different even if the required minimum number of reviewers agree



Reviewer credentials

If e-signature is enabled for approval, each reviewer will be prompted in the workflow popup to set up a personal code to authenticate their identity using a 3rd party application.

This is a one-time setup for a user in the instance allowing the 3rd party app to be used to generate time-limited tokens for identity authentication.
