This page describes how to integrate the Appfire Artemis MultiExcerpt app with the Comala Document Management app.

You will need Appfire Artemis MultiExcerpt version 5.6.26 or later.

Appfire Artemis MultiExcerpt v5.6.26 adds an integration with the Comala Document Management app and compatibility with Comala Document Management same-space publishing.

With this integration enabled in both the MultiExcerpt app and in Comala Document Management a MultiExcerpt Include macro can recognize the Comala workflow status for a workflow on the multiexcerpt source document and will only render the latest approved content version generated on the last transition to the workflow final state.

When the feature is enabled, a MultiExcerpt Include will not include content in a workflow draft state.

Comala Document Management configuration

Integration with Appfire Artemis MultiExcerpt requires the Comala Document Management Published View Macro Transform configuration to be enabled.

The Published View Macro Transform configuration allows an administrator to set which version of content with an applied workflow that the Confluence include and excerpt-include show?

When Published View Macro Transform is

  • Enabled (default) - the include and excerpt-include macros will display the latest approved version of the content (the version created on the last transition to the workflow final state)

  • Disabled - the include and excerpt-include macros will display the latest version of the content, whether draft or approved

A global admin user can enable the required integration feature in Comala Document Management global Configuration dashboard.

If required, a space administrator can override the global configuration Published View Macro Transform on a space-by-space basis in each space tools Document Management Configuration dashboard. The default setting for each space is Disabled.

Appfire Artemis MultiExcerpt configuration

Integration with Comala Document Management requires the Appfire Artemis MultiExcerpt Comala Published Version Integration Enabled configuration to be checked and enabled by a A global admin user.

Check the checkbox and choose Update and Save.

Viewing Approved Content in a MultiExcerpt-Include macro

With the feature enabled, a MultiExcerpt Include will only include approved content (approved via an applied Comala Document Management workflow).

It is still possible for a MultiExcerpt Include to include content from a page that does not use Comala workflow, even if the feature is enabled. For example, you may have a space that does not use CDM workflow. In that case, the MultiExcerpt-Include reverts to regular behavior, which is to include the latest version of the content.

Viewing pages without approval

A page that is in its very early life-cycle may not ever have been approved yet - the applied workflow has not yet been transition to the workflow final state. This means that no approved version will exist and the MultiExcerpt-Include macro that includes content from that never-approved page might not render the content.

Viewing pages without user view permission

Default workflow activity and draft content visibility does not allow a user with only view permission to view a page in a draft workflow state. If a user does not have permission to view the draft content, the MultiExcerpt-Include macro will render a message alerting the user that they cannot view the content before it is approved.

There are no other requirements for this integration except enabling the settings in BOTH apps.

MultiExcerpt app caching setting

The integration feature works both with, and without, MultiExcerpt-Include caching. Caching is enabled/disabled globally in the MultiExcerpt admin tool and disabled per-macro in the MultiExcerpt-Include macro editor. There is no need to change your current caching strategy when using this Comala Document Management integration.
