Overview

A content review can be configured to allow assignment of one or users as a reviewer.

If the content review is assignable, on the page a user will be able to manually assign, reassign and unassign one or users as a reviewer using the reviewer using the workflow popup UI.

The + Add reviewer button is added to the workflow popup If  If the content review is assignable.

The workflow can also be edited to pre-assign reviewers to the manually assignable content review.

An assigned user will require at least View permission to undertake the approval decision.

A user must have view and edit permission to assign reviewers‡.

(warning) Once

 ‡ Once a user has been assigned as a reviewer, they can (un)assign other reviewers even if they do not have edit permission for the content.

Manually assigning a reviewer

Click the + Add Reviewer button in the popup.

You can search by full nameusername, or email address or select from the contributors suggested by Comala Document Management.

When you've found who you're looking for, click the checkbox on the right of the user name and avatar.

Assigning a reviewer to a content review will disable the Approve and Reject buttons for all other users, including space and Confluence admins.

  • all assigned reviewers must undertake and agree the approval decision before a state transition occurs

  • before a transition occurs an assigned reviewer can be unassigned if they have not yet undertaken an approval decision

An assigned user will also see an on-screen message notification when visiting the page.

Individual reviewer approval decisions are displayed in the workflow popup prior to all reviewers undertaking and agreeing the approval decision.

Assigned reviewers can undertake the approval decision if they have View permission or View and Edit permission for the content.

Pre-assigning a reviewer to an assignable content review

For a content review that is assignable you can edit the approval to pre-assign one or users as a reviewer. 

Pre-assigned reviewers are added to the workflow popup in the content review state.

Additional users can be assigned as reviewers using the workflow popup.

Both pre-assigned and assigned reviewers can undertake the approval decision if they have View permission or View and Edit permission for the content.

Manually assigned users can be unassigned.                                                    

Unassigning reviewers

Although admin users cannot undertake a content review assigned to another user, they can assign additional reviewers and unassign existing reviewers.

Unassign

To reassign or unassign reviewers, return to the assignment search screen in the pop-up.

    Choose the Unassign button to remove the reviewer.

    If all the reviewers are unassigned from the content review then the approval can then be undertaken by any user with view or edit permission for the page or blog.

    Minimum reviewers

    An approval can be set to require a minimum number of reviewers

    to

    undertake

    an approval decision

    and agree

    to either approve or reject the content

    the approval decision for the approval transition to occur.

    The workflow popup will display the required number of users as outline avatars.

  • individual reviewer approved decisions are displayed in the workflow popup until the minimum number of reviewers have undertaken the review
  • if more reviewers are assigned than the required minimum the transition will occur when the minimum number of reviewers agree even if there are reviewers who have not yet undertaken the review
  • the transition will not occur if at least one current decision by a reviewer disagrees with the approval decision
